A single star with no explanation is a different problem from a single star with a paragraph attached. Both are answerable, and they are not answerable the same way.

Read the rating before you write the reply

One star arrives in three shapes. There is the detailed grievance, which gives you something to work with. There is the one line verdict, which gives you almost nothing. And there is the rating that turns out to be about something you cannot fix, like a policy you are not going to change.

The reply has to be proportionate to what is in front of it. A long, careful, specific answer under a four word review looks like protesting; a two line answer under a detailed account of a bad appointment looks like brushing it off. Owners get this backwards more often than any other mistake in this whole cluster, because the instinct is to write most where you feel worst rather than where there is most to answer.

What happens to a review before you see a draft

Proportion, and what it looks like

Match the length of the reply to the length of the review, then check that every sentence is doing work.

Do

  • Acknowledge the rating itself when there is no text to acknowledge. A rating is still a message.
  • Answer the loudest specific thing first, not the first thing they mentioned.
  • Offer a way to continue that does not require them to post again in public.
  • Leave the reply up. A deleted reply looks worse than the review it answered.

Do not

  • Do not ask the reviewer to take the review down. Asking is what turns one bad review into a second one about you asking.
  • Do not imply they are lying, mistaken or a competitor unless you have reported it and are willing to say nothing until that resolves.
  • Do not write four paragraphs under four words.
  • Do not report a review to the platform simply because it is negative. Google's own guidance says that is not what reporting is for.

Questions about one star reviews

Can I get a one star review removed?

Only if it breaks the platform's content rules, and being negative is not one of them. Google's guidance is explicit that it does not get involved in a disagreement between a business and a customer, so the reply is usually the only lever you have.

Does replying to a one star review make it more visible?

We are not going to answer that in either direction, because nothing on the Google page cited below says what an owner reply does to the order reviews appear in, and a confident answer would be somebody guessing. What a reply certainly does is put your side of it in front of anyone who reads that far, and a one star review with a considered reply under it reads very differently from one sitting alone.

What if there is genuinely nothing we could have done?

Say what happened plainly and stop. A reply that explains a constraint without asking for sympathy reads as honest, and readers are better at telling the difference than owners expect.

Should I offer a refund in the reply?

Not in public. Invite them to a private channel and settle it there. An offer posted under a review reads to everyone else as a price list.
