What TripAdvisor tells owners they may do
Three from the owner FAQ, one from the federal rule underneath it. The second is the one that decides whether your programme is legitimate.
The Management Center carries Review Express, which emails recent visitors to remind them to write a review.
You are not improvising here. There is a supported route, and using it is better evidence of good faith than a mailing list of your own.
Selectively soliciting reviews, by email, survey or any other means, only from guests whose stay went well is prohibited.
The prohibition names surveys explicitly, so the two step version is covered. Everybody who stayed gets the same reminder or nobody does.
You may not offer guests any incentive for writing a review.
No upgrade, no drink, no draw. On a platform that penalises properties for fraud, this is not a rule to be creative around.
The FTC rule reaches insider reviews, and the FTC says paying for a truthful negative review to be changed or removed may break the FTC Act.
Staff reviews of your own property are the version of this that hotels most often walk into by accident.
A reminder programme that holds up
The work is in the list you build, not in the message you send. Steps two and three are the whole compliance story.
Open the Management Center and find Review Express

Upload everybody who stayed
Not the ones who smiled at checkout. The prohibition on selective solicitation is about who is on the list, and a filtered list is the breach regardless of how neutral the wording is.
Keep the message free of any inducement
Read your own draft looking for anything that could be read as an offer. A returning guest discount mentioned in the same email is an incentive, whatever the sentence around it says.
Send it once, close to the stay
A reminder within a week of checkout is a reminder. The third one a month later is a nuisance and reads as pressure.
Answer what comes back
TripAdvisor's own advice is to keep at least one management response among your ten most recent reviews, which is a floor rather than a target.
