Three ways to answer on Yelp, and only one is public

Most advice about replying to reviews assumes a single reply box. Yelp has three, they land in different places, and picking the wrong one is how an owner ends up making their best argument in a channel nobody else can see.

The three channels, and the account that owns them

Yelp documents all three. Knowing which is which is most of the skill, because the audience changes completely between them.

  • You must be signed in to a Yelp Business Account to respond at all.

    The consumer side of Yelp does not carry the controls. If the Respond button is missing, you are usually in the wrong account rather than looking at a bug.

  • A public comment is visible to everyone on your Yelp page.

    This is the one that does any work for future customers, and Yelp's own recommendation is to use it wherever a public answer is possible.

  • A direct message goes to the reviewer alone and no other Yelp user sees it.

    Right for anything involving a refund, an order number or a name. Worth nothing as reputation work, because the audience is one person.

  • The Thank button sends a private note on a four or five star review and is visible to that user only.

    It is a courtesy, not a reply. A shop that only ever uses Thank looks, from the page, like a shop that never answers anybody.

  • Both controls open from the Reviews section of the business account, one review at a time.

    There is no bulk reply, which is a nuisance on a backlog and a mercy on a bad week.

Answering a Yelp review without picking the wrong channel

The decision in step two is the one that matters. Everything else is typing.

  1. Sign in on the business side

    Open Yelp for Business and go to Reviews in the left hand menu. If you manage more than one page, confirm which one you are looking at before you type a word.

  2. Decide who the answer is for

    If the useful answer contains a refund, an address or an order detail, it is a direct message. If it is about how you run the place, it is a public comment.

  3. Write the public one for the room

    The reviewer already knows what happened to them. The public comment exists for the person reading twelve reviews and deciding where to spend an evening.

  4. Send the private one to the person

    Specifics only: what you will do, by when, and who to ask for. Keep it short. A long private message starts reading like a negotiation.

  5. Use Thank for what it is

    One click, one reader, on a review that was already good. Useful, and no substitute for a public comment on the reviews people actually browse.

The Saturday slots were still set to weekday spacing, which is how two thirty became three fifteen, and that is corrected from this week. A rushed set is a set we should not have charged for. I have sent you a message so we can put the gels right properly, with Anna, who does not take a walk-in on top of a booking.

Priya's last two sentences are the whole review: she was told the problem belonged to her. Giving her framing back in the opening line is the only thing that proves the reply was written after reading it. The refund conversation then moves deliberately to the private channel, where an appointment and a name can be discussed without publishing either.

What is the difference between a public comment and a direct message on Yelp?

Do I need a Yelp Business Account to reply?

Should I answer every Yelp review publicly?
